Volunteer Coordinator for NorthwestFest 2019

Reporting to the Executive Director, develop and manage the recruitment, placement and training of volunteers for the 2019 NorthwestFest International Documentary Festival, which runs from May 2 – May 12, 2019.  The hours of work will be flexible in the lead up to and following the festival, but the coordinator will be required to be available to work the days of the festival. 

Responsibilities and Duties

  • Recruit volunteers using the NWF/Zone database and ensure database is kept updated.

  • Recruit volunteers using social media, volunteer organizations, print and the web as needed.          

  • On behalf of NWF, develop long-term relationships with volunteers.

  •  Schedule volunteers so that all positions required are filled throughout the festival. 

  • Ensure volunteers are aware of dates and times of their assignments, as well as their rights and responsibilities as volunteers.

  • Work with other Coordinators/Staff to determine assignments.

  • Assist Executive Director with the planning, set up and tear down of a volunteer orientation event and contribute to its running.

  • Be on site during the festival and be accessible via cell phone and/or to coordinate volunteers, troubleshoot any issues and help ensure the smooth running of the festival

  • Check in with venue managers at all locations during the festival.

  • Assist in arranging and hosting volunteer appreciation event.

  • Attend meetings as required, and provide report progress as needed.

  • Provide a written final report to the Executive Directive within 30 days of the Festival as to the number of volunteer shifts completed, number of hours, successes and areas for improvement.

  • Work with the Executive Director to develop a Festival resource binder.



  • Experience in festival work and / or overseeing volunteer crews highly desirable.

  • Works well in a team and independently.

  • Positive attitude. Good communication skills.

  • Works well with volunteers and the public.

  • Meets deadlines and objectives, follows up and completes tasks.

  • Able to manage logistics, fine details and the flow of information.

  •  Computing skills.

  • Ability to problem solve.


Benefits and Remuneration

$2500 flat fee, to be paid no later than 14 days after receipt of coordinator’s final report.
